ONLINE REGISTRATION

 

    The process is very simple and geared to make everything simple and easy for the organization/tournament director hosting the tournament.

    All the initial work is done by PYW and is absolutely free. There are several ways to setup and run the Online Registration and PYW can customize it to fit your needs. All the information you need will be gathered automatically when each person registers and added to a database that you will have access to and will show "realtime" registrations.

    You will be able to pull the information from the database into a spreadsheet format at any point of the registration process. PYW can also provide the information to you by request during the process. PYW will provide a link that will give you access to your tournaments database.

 

Cost - There is a $2 per entry processing fee for the Online registration. Most tournaments just add this to the registration cost so that the processing fee does not take away from the tournaments revenue. (i.e. If you charge $20 the cost of online registration would be $22 so the tournament would still get $20 per entry)

 

Payment - At the end of the registration process PYW will send a check to the tournament organization for the amount of online registrations. A partial payment from PYW can be arranged in some cases part way through the registration process.

 

 

Three most common ways to setup online registration.

1) All online (Online Payment only) - All registrations would go through the online registrations process and all payments would be made through PayPal or Credit Card.

  Advantages

    - All entries are on a singe spreadsheet and there is no paper to deal with.

    - Online registration process can be run right up to the time that you need all entries completed. (If you are going to put brackets

      together on the evening before the tournament at 6:00pm you could run registration up until 5:00pm or later)

    - All information can be sorted by any field you would like which will make setting up the tournament easier.

    - You will be able to find and access emails and phone numbers of registrants easily and quickly.

 Disadvantage

   - Some people may not feel comfortable to use credit card or Paypal or not have access to either.

 

2) All Online (Payment by PayPal, Credit Card or Check) - Same as option one except people would also have the option of sending a check to PYW as payment. The check portion would be cutoff several days earlier than PayPal and Credit Card to allow time for checks to arrive and be deposited and cleared.

 Advantages

   - All entries are on a singe spreadsheet and there is no paper to deal with.

   - Some people may not feel comfortable to use credit card or Paypal or not have access to either. (This allows someone to send a

     check if they do not want to use online payment.

   - All information can be sorted by any field you would like which will make setting up the tournament easier.

   - You will be able to find and access emails and phone numbers of registrants easily and quickly.

 Disadvantage

   - Possibility of checks bouncing.

 

3) Online and Mail In - This option will allow either the registration to be completed online and paid with PayPal or credit card. They would also have the option to mail in the form with a check to the tournament director/organization.

Some tournaments then will make the online registration cost $2 higher than the mail in cost. PYW does not suggest this arrangement since it is to the tournaments advantage to have the majority of entries register online but this is tournaments organizations choice.

 Advantages

   - Gives people the choice to fill out and mail in printed form.

   - All online registration information can be sorted by any field you would like which will make setting up the tournament easier.

   - You will be able to find and access emails and phone numbers of Online registrants easily and quickly.

 Disadvantages

   - Tournament then has to deal with all the mail and check from the mail in portion.

   - Some entries will be on the spreadsheet (Very clear, neat information) and some will be on printed forms (Reading handwriting

     and maybe not having all fields completed)

   - Mail entries will not be able to access phone numbers, emails or sort by field.

   - Possibility of checks bouncing.

   - Bank processing fee for the checks.

 

 

FAQ

Q) I do off teams (of X#) a discount. Can this be setup with the online process?

     A) Yes - I can work directly with a team and run everything through the online process (pay by check, credit card or PayPal) or they can work directly with you.

 

Q) Is the $2 online registration a burden on those registering for the tournament?

   A) Although it is $2 additional most people find the convenience of being able to do everything online and not have to run to the mailbox

        or Post Office, find an envelope, stamp, etc worth the additional cost. Although a stamp and envelope do not cost $2 there is a cost so the actual cost of online to the registrant is probably more around $1.40-$1.50

 

Q) Can I do double entry registrations with the online registration process?

  A) Yes - Double entries can be accommodated and you can set the second entry for whatever price you want.

 

Q) If I have questions during the online registration process will PYW help me and answer my questions.

  A) Absolutely - PYW will provide you a contact number that you can call and get assistance at any point in the process.
